General

The “technology” that will be used for our virtual congress is the zoom platform.

The sessions will take place in up to six virtual rooms simultaneously. Please refer to the congress programme to find the room in which each session will take place.

 

Zoom setup

It is strongly recommended to download and install zoom in advance. The installer is available at https://zoom.us/download. Zoom is also available at Google Play and App Store for Android and Apple mobile devices respectively. Joining a test zoom meeting at https://zoom.us/test will greatly help in familiarizing with zoom

 

Other requirements

Please make sure that you have

  • A stable internet connection (this is very important). We strongly recommend using a wired LAN connection instead of wi-fi. You may check your internet speed by performing an Internet speed test online: https://www.speedtest.net/. Your upload speed should ideally be above 8Mbps in order to avoid slow-speed issues.
    4G should be avoided.
  • A computer with a functional webcam (a web cam attached to a laptop is fine)
  • If at all possible an external headphones / microphone set attached to your computer

 

Pre-congress workshops

Participants registered to attend pre-congress workshops will receive an email containing the zoom link to the workshop and the password. These links will be valid only for these workshops.

 

How to join a session during the main congress

Registered participants will receive an email containing the links and passwords required for joining any of the main congress sessions. Each link will be pointing to a specific virtual room and will remain the same throughout the congress.

The programme has been designed in such a way that keynote speeches, symposia and open papers sessions will always be in Rooms 1, 2 and 3, while workshops and skills classes will be held in Rooms 4, 5 and 6.

A. For the keynote speeches, symposia, open papers sessions

Please click on the link corresponding to the virtual room you wish to join and the “zoom client” will be downloaded to your computer automatically (if you have installed “zoom” on your computer, the meeting will start automatically). You will then be asked to enter the password and your full name (it is important that you type the name exactly as given when making your registration (this will also appear in the email you will have received). These are the steps that will get you in the session. Follow exactly the same procedure in case you are disconnected for any reason (if for example your network drops).  Also keep in mind that after the end of each session, the system will be disconnecting all attendees.

During these sessions, participants’ microphones will be muted. Participants are requested to use the Q & A system to ask questions to the chair of the session. You should of course disregard the two first paragraphs referring to methods of joining, as the required links will have been sent to you by the Congress Secretariat.

B. For the workshops and the skills classes

Please click on the link corresponding to the virtual room you wish to join and the “zoom client” will be downloaded to your computer automatically (if you have installed “zoom” on your computer, the meeting will start automatically). You will then be transferred to a “registration” page where you will be asked to enter your first name, last name and your email. The “registration” will go through in a matter of seconds and you will then be able to enter the virtual room.
Important note: There will not be pre-registration. Participants wishing to join a workshop/skills class will be allowed to “enter” the virtual room on first come-first served basis, of course up to the maximum number of participants set by each coordinator. The virtual rooms hosting such sessions will open during the break that precedes them.

 

Recordings

Several sessions will be recorded and made available for later viewing during and for a week after the end of the congress. We will be adding the links to the videos as they become available on the “Recordings” page of this web site.  The videos will be password-protected. The password will be sent to all registered participants before the start of the congress.

 

E-posters

E-posters will be available at all times during the congress and for a week after. The e-posters page will be password protected. The password will be sent to all registered participants before the start of the congress.

 

Support

There will always be a technician in each virtual room, ready to assist.
