Panelists & Coordinators

Keynote speeches, symposia & open papers sessions

Chairpersons and speakers will be receiving email messages from the congress secretariat the eve of the day their session is scheduled. Those emails will contain unique, personalized links to be used only for the specific sessions.

A. Chairpersons

  • Please join the session 5-10 minutes in advance and test your microphone / camera, so that the session can start on time.
  • Please select a quiet and uniform background. Avoid using artificial background features.
  • We recommend that you turn on your video during the session introduction.
  • You can manage the attendees by clicking on the “view all attendees” link under the “participants” panel.
  • The audience will be asking question using the Q&A feature of zoom; The chairperson’s role will be to read the questions and to decide which of them to make public. When a question is chosen by you, please pass it on to the corresponding speaker. It is recommended to prepare 2-3 questions in advance in case there are no questions from the audience.
  • Generally speaking, chairpersons should act in exactly the same way as if the congress was a “live” one.
  • There will be a technician in the virtual room throughout the session with you to assist you and to guide you if you have any queries.
  • Please be mindful of the time limits ! If the session runs over time, a technician will alert the chairperson & request kindly to end the session.

B. Speakers

  • Please join the session 5-10 minutes in advance and test your microphone / camera, so that the session can start on time.
  • Please select a quiet and uniform background. Avoid using artificial background features.
  • We suggest that you have your video & microphone on while the chairperson introduces the session and turn off your microphone immediately after that until it’s time for your own presentation. The room’s technician will handle your camera on/off.
  • The audience will be asking question using the Q&A feature of zoom; The chairperson will be passing on to you to answer the ones related to your presentation.

Workshops & skills classes coordinators

Zoom limits the number of “hosts” to be only one. This means that either the coordinator or the virtual room technician may be able to handle participants, manage breakout rooms and the like. Coordinators who are familiar with zoom and its functionality may ask the technician to give them the control of the virtual room, while coordinators who are not familiar can assign such tasks to the technician. It goes without saying that the technician will be in the virtual room throughout the session ready to assist on any point.
